Law of the Republic of Indonesia Number 14 of 2008 concerning Public Information Disclosure mandates that every Government Public Agency and Non-Government Public Agency is obligated to provide public information quickly, actually, and on time. The Universitas Sumatera Utara, through the Rector, issued Decree Number 1552 of 2019 concerning Information and Documentation Management Officers (PPID) and the Organizational Structure of Information and Documentation Management of Universitas Sumatera Utara. In the decree, the Rector, as the highest-ranking PPID official, appoints the University Secretary as the Information and Documentation Management Officer who, in carrying out his duties, is assisted by the Information and Documentation Management Executive consisting of the Head of the Public Relations, Protocol and Promotion Section, Head of Administrative Offices, Faculties and Schools, Head of Archives, Head of Library, and USU Integrated Service Center as an information service provider.

Brief Overview of the Establishment of PPID

Law No. 14 of 2008 on Public Information Disclosure (KIP) mandates that every Government and Non-Government Public Body has the obligation to provide public information under its authority to the public in a fast, effective, timely, low-cost, and simple manner.

In order to fulfill these provisions, each Public Body is required to appoint an Information and Documentation Management Officer (PPID). PPID has main tasks and functions that include responsibilities in terms of storing, documenting, providing, and serving information to the public. At the Universitas Sumatera Utara, the forerunner of PPID was initiated in 2018 by Prof. Muryanto Amin, S.Sos., M.Si., who at that time served as the Head of Bureaucratic Reform.

In 2019, PPID was established based on the Decree of the Rector of the Universitas Sumatera Utara Number: 1552/UN.1.R/SK/TPM/2019 concerning the Information and Documentation Management Officer (PPID) and Organizational Structure of Information and Documentation Management of the Universitas Sumatera Utara.

Gambaran Singkat PPID

In 2021, PPID Universitas Sumatera Utara achieved the Informative predicate for the first time.

In 2023, Universitas Sumatera Utara strengthened PPID USU by issuing the Rector's Regulation of Universitas Sumatera Utara Number 20 of 2023 concerning Public Information Management at Universitas Sumatera Utara.

In carrying out its duties, PPID USU is directly supervised by the Rector of USU. PPID USU consists of the Work Unit Executive PPID, which oversees the Data Logistics Executive PPID, the Executive PPID, which oversees the Information Provider PPID; and the Work Unit Executive PPID, which oversees the Supporting Executive PPID.

PPID Duties and Functions

PPID Duties and Functions

  • Coordinating, consolidating, and confirming the collection of information and documentation materials from each work unit at the Universitas Sumatera Utara,
  • Storing, documenting, providing, and delivering information services to the public,
  • Verifying public information materials,
  • Conducting consequence tests on exempted information,
  • Updating information and documentation, and
  • Providing information and documentation that the public can access.

PPID Administrator Duties and Functions

  • PPID Executive / Public Relations : These officials are directly responsible for all documentation and information management processes at the Universitas Sumatera Utara.
  • PPID Executive Assistant of Information Control Division : These officials assist the work of the PPID Executive following their field of controlling public information.
  • PPID Executive Assistant of Data Logistics Division : These officials assist the work of the PPID Executive following their fields in providing and collecting the necessary data.
  • PPID Executive Assistant of the Information Systems Division :These officials assist the work of the Executive PPID following their field in the supervision and management of the information system managed by the PPID.
  • PPID Information Executive : These officials carry out and provide information directly and are placed in a centralized place, the Integrated Service Center of the Universitas Sumatera Utara.
